How to Post Employment Allowance in Xero Payroll Journals

A practical walkthrough for UK accountants posting Employment Allowance correctly inside Xero payroll journals.

Employment Allowance (EA) reduces an employer's Class 1 NIC bill, but the journal entries in Xero need to be posted correctly so the NIC liability and expense lines stay in sync.

What the journal should reflect

  • Employer NIC expense reduced by the EA claimed for the period.
  • PAYE/NIC liability to HMRC reduced by the same amount.
  • No separate EA "income" line — EA is a reduction, not a credit.

Posting it in Xero

1. Export both the Employee Pay Totals and the Employer's NIC Allowance reports from Moneysoft. 2. Open MS Payroll Bridge and upload both files. The EA reduction is applied to employer NIC automatically. 3. Map the lines to your Xero chart of accounts and download the journal CSV. 4. In Xero, go to Accounting → Manual Journals → Import and upload the CSV. Post the journal.

Common mistakes to avoid

  • Posting EA as a separate "other income" line — it should reduce the NIC liability instead.
  • Forgetting EA in the first pay period it applies — the journal will be overstated.
  • Mixing pay periods in one EA claim — keep one period per journal for clean reconciliation.
